The role includes
  • Oversee the maintenance and key management of facilities for one commercial property and two residential properties in West London
  • Answer the front door, accept packages, be the primary point of contact for the health and safety at the commercial property.
  • Organise the office in relation to furniture and equipment, arrange repairs to office and equipment as required.
  • Manage builders and architects. Be the point of contact for cleaner and gardeners.
  • Manage post, arrange forwarding and couriers.
  • Regularly submit meter readings for gas and electricity for properties
  • Ensure the office is well stocked and well presented at all times
  • Manage CCTV, fire and security alarm systems including regular testing and maintenance checks. Be the point person for the alarm companies.
  • Ensure the plants in the office are watered regularly
  • Sweep the outdoor area’s regularly
  • Book couriers, taxi’s, trains, flights, hotels and short/long-term leases, ensuring frequent flyer numbers are tied to bookings and that all trip costs/budgets are pre-approved. Occasionally drafting budgets for trips.
  • Forward deliveries and gifting to clients.
  • Support the Director’s Executive Assistant with daily tasks including filing expenses, organising travel visa’s, getting keys cut, picking up and dropping off dry cleaning, and other errands from time to time.
  • Keep supplier list up to date and ensure all office supplier invoices are correct and paid.
  • In addition to the usual hours you will be required to take calls and respond to emails outside of office hours so flexibility is key.
